Parent Help List

As the level of performance of the choirs improves and the choir receives more and more local, national and international attention, my need for you to help also increases. I would like your help to develop a list of jobs that individuals could volunteer for. While the last concert is still fresh in my mind I thought I would get this out there. Please comment with things that you think would be helpful or ways that you would like to help. Some of these will require a greater amount of commitment, time and equipment than others. This is just a brainstorm so here goes. Check back over time as I will be adding to it and will eventually move it to a page tabbed above.

Videographer: Someone with digital equipment that can set up their own camera to take digital video of choir performances, edit them and give them to me to post to YouTube or other sites.
requirements: Wings volunteer form approved, have your own camera and tripod, have editting software and disc burner to get me the data file.
Time commitment: attend all evening concerts including Winter, Spring, Area Choir Fest and special Choir concerts (dates to follow)
Membership: Any Gifford Parent or Relative.

Gifford Reports Deadline Reminder: Send email reminder to Miss McCormick and me 4 days before Gifford reports deadline
Requirements: Computer and email access, extreme organizational and scheduling skill (OCD people preferred)
Time Requirements: a few minutes a month
Membership: Any Gifford Parent

PTA Liason/Advocate: Someone to attend all PTA meetings and keep Katie and I informed of grant deadlines, important votes etc. I already attend most PTA meetings but having someone to pay better attention than I can would be very helpful.
Requirements: Available on Tuesday PTA meeting nights, internet and email access.
Time Requirements: Usually one meeting once a month from 6PM-8PM?
Membership: Any Gifford Parent

Manager of Wardrobe Malfunction Prevention: Two Caiman Chorus kids went on stage at the last concert out of uniform and many Children’s Choir kids were on stage with shirts untucked. One of the little sweethearts tried to do the right thing and talk to me about not having her uniform. I had extra t-shirts in my car but was on “emergency only” mode and couldn’t help her. If the kids knew who to go to for torn pants, forgotten items etc. it would save the directors some stress.
Requirements: Wings Volunteer approved, attend all concerts and observe students in uniform without taking rehearsal time. Bring safety pins, bobby pins, masking tape etc. Watch for uniform violations (blinky lights, glitter etc and correct)
Time Requirements: Attend all concerts
Membership: Gifford Children’s Choir Parent
Position Filled by: Kelly Cantu

Concert House Manager: Person in charge of making sure doors are opened and closed at correct times, programs passed out, directing audience members where to sit, answer questions about bathroom facilities…
Requirements: Wings Volunteer approved, independent adult.
Time requirements: Arrive 35 minutes prior to all events, solicit helpers to usher
Membership, Any Gifford Parent

Musical/Talent Show House Manager: Same as above but separate person for the musical and talents shows and for the concerts.

Concert Reminder: This may seem silly to many of you that don’t have ADD but this would be a huge help. Thanks again to Mrs. Benson for helping me with this x 20 during the TV audition week. This person would email me reminders about any unusual things in the choir calendar a week or two ahead of time. They could also use the choir email list to remind parents. If there is a combined rehearsal instead of the regular sectional, if there is an audition date coming up, if there is a concert coming up, fundraiser deadlines, … bam, you send me an email.
Requirements: Internet and email access, a bossy personality. Know and review the choir calendar and blog posts about schedules.
Time Requirements: A few minutes each week reviewing the schedule, checking the blog and emailing me.
Membership: GCC parent
Position Filled by: Debbie Crenshaw

Web Designer: I would really like someone other than me to develop a Website that would allow my colleagues and I to brag about our choirs and share repertoire through performance. Each submitting member would be allowed two videos that would be embedded on the site. Different pages would house different genres. Links would be given to each director’s own website or YouTube channel, WCDA, ACDA, MENC, ChoralNet, JWPepper, Ward Brodt Music, Hal Leonard, Sheet Music Plus… An Adsense account would be set up as well as a PayPal doantion button and fees could be considered. Nothing like this presently exists.
Requirements: Internet access, email, Web Design tools and skills. Ability to be a Moderator.
Time Requirements: Initial setup would probably take about 6 hours, maintaining the sight an average of 1/2 hour week all year, busier around December, March and May.
Membership: The Human Race or Cyborg.

Position temporarily filled by me:  The sight won an award this summer as one of the best music blogs for teachers. choirbragblog.wordpress.com Still need web design help.

Program Roster Coordinator: This person would make sure choir rosters are up to date and would submit the current roster including all auditioned choir members names properly spelled for the printed programs.
Requirements: Wings Volunteer approved, Internet, email, spreadsheet experience
Time requirements: A few hours early in the year, a couple hours 2 weeks before each concert to update the list.
Membership: GCC parent preferred.

Volunteer Recognition Coordinator: I am soooo grateful to all of you who have helped this year. I am terrible at letting you know how much I appreciate you because as soon as one project is over I am burried in the next. When I was 12 I was the heir for a fairly wealthy aunt who had no kids of her own. When I graduated from High School she sent me $20. When I didn’t send her a thank-you she found a new more appreciative heir. What she didn’t know was how much I loved and respected her. Because I have a short circuit in my timely response wiring I didn’t let her know in a way she could understand. How many of you feel unfulfilled because you didn’t receive a proper thank-you in the way you expected? I need someone to put the thank-you card in my hand, and deliver it or mail it. Every year I spend hours writing personal messages in Christmas cards that I never send.  This is hugely important and an area I really can’t do myself.
Requirements: Someone who has ever felt under-appreciated. OCD people preferred.
Time Requirements: Buying thank-you cards (no cost to you), filling out addresses and mailing cards. Coming in to school to get me to do my part.
Membership: Auditioned Choir Parent
Position Filled by: Debbie Crenshaw

I am up for helping out where ever I can. Since I usually have a 4-year old in tow and do NOT have any musical talent whatsoever, I will stay out of the arena but would love to offer to do any of the following jobs:
    -Deadline Reminder
    -Concert Reminder
    -Program Roster Coordinator
    -Volunteer Recognition Coordinator
-Others List…member of Community Choir (hmmm…see above comment about musical ability).

  2. Kelly Cantu says:

Thanks for coming forward to help. I will try to assemble a specific list of helpers and assign tasks based on what people have offered to do. I would will reserve Concert Reminder and Volunteer Recognition coordinator for you. Hopefully we will get enough other volunteers that you won’t need to take on all of those you listed but if not filled I will come knocking.

Your pay and benefits will be discussed at a later date. You will be contacted by HR sometime prior to the start of the school year.

In case you didn’t get my email reply, I’m in for the booster club. It would be helpful to have a list of the kids in both choirs? Parent names/phone numbers…let me know when we can chat. And, if any parent out there would like to get a head start, please feel free to email me your name and contact info to mdixon18@wi.rr.com, thanks! Looking forward to another great year!

That’s great! I can’t give you emails and the like just yet for privacy law reasons but one of the first things we will do is get permission for that. I’m about to bury my head in my 60+ chickens, ducks and turkeys so I will be out of touch for a while. Talk to you soon.
